  • 1. Can you tell me about shipping and delivering koi?
     

    CUSTOMER SERVICE will contact you to confirm your delivery date once your order is processed. If there are any updates to your koi, you will be contacted before the shipping date. Your shipping fee will be sent separately, after your koi has been prepared. Please see the instructions in steps 6 and 7 for more information about processing your order and receiving your koi.

    SHIPPING IS NON-REFUNDABLE and subject to CREDIT ONLY, based on cancelled orders or UPS Claim

    IMPORTANT: All koi shipments need 5–10 days notice prior to shipping in order to stop their feeding and prepare your koi for a safe journey. If you postpone the koi further than 7 days from the original date the koi health guarantee will be waived. Read more about Koi Health Guarantee

    Kodama Koi Farm has been shipping koi for many years and has learned what works best for the safe delivery of your koi. The shipping formula is not absolute.

    However, when packing koi, Kodama Koi Farm takes into consideration:

    • The condition of the koi
    • Water temperature
    • Delivery time

    Kodama Koi Farm reserves the right to determine how many koi can be shipped in a box. Our 24 hour koi health guarantee is based on our farm's packing recommendation for your shipment. Any request to alter the shipping/packing recommendation requires a waiver of the 24 hour koi health guarantee to be sent to Kodama Koi Farm via E-mail.

    Note: Additional $25.00 per box for Saturday delivery. Any koi that is over 18.6 inches is shipped by itself in one large box.

    UPS DELIVERY

    UPS ships directly to your door! Your shipment is delivered from Hawaii via UPS Next Day Air. In most cities and locations, UPS delivery usually arrives by 12:30 pm, but can vary based on location. Delivery time for some rural areas may be different. Please check the estimate arrival time with UPS  by calling 1-800-PickUPS.

    You will also receive your tracking number via email from UPS directly on the day your koi ships.

    UPS INSURANCE (RECOMMENDED)

    We now offer insurance on UPS shipments for an additional fee. At just 6% per $100 of your koi's value

    We highly recommend insurance for orders $500+ to cover the additional costs* in case of a delay. (* = koi value only) 

    For example, if you buy a koi at $500, you can insure that koi for just $30!

    If no insurance is purchased, neither Kodama Koi Farm nor UPS will be held liable for delays in shipment or damages to koi.

    Credit is approved case by case with managers discretion. Note: UPS fee is non-refundable

    Contact us by email or phone asap if there is anything wrong with your koi. 

    To file a claim we will need: 

    1) Photos of the shipment box 

    2) Video & Photos of the top and both sides of the koi.

     

    SATURDAY UPS DELIVERY

    There is an additional fee of $25.00 per box for Saturday deliveries.

    Please note: The Saturday delivery option is not available in all areas. There is some risk when opting for Saturday UPS delivery. Shipping delays are rare, however it does happen from time to time. A shipping delay may result in your koi not arriving until Monday. Because of this possibility, we highly recommend that you purchase UPS insurance for these deliveries. See UPS Shipping Fees above. The insurance will cover the cost of the shipping as well as your cost for the koi if the delay is a result of a UPS sorting error or mechanical failure. Delays due to unfavorable weather and other acts of nature are not covered.

  • 2. What is your return policy?
     

    If anything should happen to your Koi within the holding period (i.e.: illness and/or death) NO replacements will be provided. Instead, store credit will be issued towards your next purchase.

    Store credit must be used within 6 months from the date of issue, although extensions are given on a case-by-case basis.

    As avoiding cross-contamination is a part of a healthy practice in maintaining a clean facility, as well as keeping our beautiful koi as healthy as possible, all koi sales are final. Returns are not accepted. Once a koi leaves our farm and has experienced other waters, they may not be allowed to return for any reason.

  • 3. Do you ship Koi to Mexico?
     

     

    At this time we do not ship our koi for sale directly to Mexico. Please cross the border to pick up your Koi at the closest UPS FedEx station inside the US, OR Please contact Tony at High Aqua. He can buy and import Koi from us and then deliver or ship the Koi to you.

  • 4. Do you ship Koi to any other countries?
     

     

    It legitimately depends, as each country requires various documents and requirements, one being a health certificate.

    Please find out from your appropriate Government Agency what documents are necessary for you to obtain in order to import Koi into your country.

    FedEx Interisland shipments are made on Thursdays only.

    Same-Day delivery to your door.

    Upon request, you may pick up your koi at your nearest Fedex station.

  • 6. Shipping by Air Cargo
     

     

    Air Cargo shipments are made on Thursdays only.

     

    *Hawaiian Airlines is our primary provider.

    All Hawaiian Air Cargo shipments will be sent pre-paid on Kodama Koi Farm’s account. We will invoice you for shipping once we receive the charges.

    Shipping charge includes "Handling" Fee = $25 per box

    Other providers may be used based on discretion and flight schedule from HNL. To request a different airlines, please provide us with the flight schedule when inquiring.

     

    Hawaiian Airlines availability is based on flights from HNL on THURSDAYS

    Locations available for delivery include:

    To arrange this shipment method, a two-day advanced notice is REQUIRED. Additionally, our holding policy will also be applied to this service.

    Holding Policy

    Our holding policy requires customers to pick up their koi shipment within 2 hours after the plane has landed.

    Please note: This delivery option is ONLY RECOMMENDED IF YOU HAVE A HIGH VALUE ORDER in which an airport pick-up can minimize risk.

    Cost reduction on delivery is significant only if there are multiple boxes. Smaller quantity orders are still suggested to be pick-up at your local UPS Customer Center if travel time reduction is of concern.

  • 7. I live in Hawaii. Can I pick up my Koi at your farm instead of them being shipped?
     

     

    Yes, it is totally possible!

    All pickups MUST be arranged in advance.

  • 8. Can you ship supplies with Koi?
     

     

    If the food/supply is able to fit in the same box as your koi, yes, we may ship it together.

    The Supply Warehouse and Farm are located in 2 different states.

    Primarily, Mr. Kodama Koi Food is the only supply available from the Farm.
    Other products that may be available on occasion include Niigata Water Bio and select medicines. Please inquire with Customer Support.

    All other food and medicine products will be shipped from the Florida Warehouse via UPS Ground (you may upgrade by request).

  • 9. Do I have to be there when Koi is delivered?
     

     

    Preferrably, yes!

    It is important to open the box and release the koi as soon as possible! The koi surely will be stressed and exhausted from their long journey to their new home.

  • 10. Can I pick up the Koi at the closest UPS station?
     

     

    Absolutely!

    This will reduce the travel time and may be beneficial to your koi.

    • Make sure it is a UPS Customer Center (not a store)
    • Search for your local customer center on UPS.COM
    • Provide the UPS address location when placing your order.

  • 11. What is the holding policy?
     

    Yes, we can!

    We understand it is important that you combine your winnings to save on shipping costs

    Depending on if the koi is an unpaid auction or a paid order, the time frame and fees may vary. See below for details.

    UNPAID AUCTION KOI

    • must be paid within 3 days of winning

    ****Please note: If our customer can not be reached for unpaid koi and pending shipping date orders, it is to Kodama's discretion to cancel the koi with a 20% restocking fee.

    After Purchase

    Koi must be shipped within 2 weeks to ensure koi health guarantee

    If you would like to board your Koi (for example, during the winter):

    • This is offered only on a case-by-case basis and pond availability
    • If approved, the cost is $50/Koi per month (fees are nonrefundable)
    • If a Koi becomes ill, we will treat it at no additional cost to you
    • NO replacements or refunds will be offered if a boarding Koi loses its color or dies

    As an effort to stay within the guidelines of our farms health recommendations ensuring our promise to deliver beautiful and healthy Japanese koi. Holding koi in shipment for too long puts the koi at risk.

     

    Kodama Koi Health Guarantee: 

    It is very rare that Koi arrives dead.  We import tens of thousands of Koi from Japan every year. We hardly see DOA (dead on arrival). 

    However, when delivery gets delayed due to some issues of carriers like UPS, Cargo flights etc., the life of Koi gets in danger.

    What Koi Health Guarantee Includes:

    • Ensures koi arrive alive
    • In the case of DOA, Kodama Koi Farm Will provide store credit of koi value up to $500 per shipment

    Valid only if 

    • shipment date is within 30 days from date of purchase
    •  all safety guidelines were followed. 
    • payment was received 3 days after winning auction

    Beyond 30 Days, 

    Boarding rules apply ($50 per month per koi, no pro-rate)

    1. Contact customer support if you are continuing to bid in order to fill your shipment box.
    2. If you need help finding koi, you may submit a koi request.
    3. Once a delivery date is confirmed, you have 7 days to change your delivery date and the koi health guarantee is void. 

    (If the shipping date is postponed beyond 7 days, it will force us to move Koi back to a pond for health reasons from a holding tank. It causes extra stress on Koi. So we highly recommend that the shipping date should not be changed too much…)

    Postponed shipments:

  • 12. What is your koi health guarantee?
     
    All koi purchases are final, and shipping charges for koi are nonrefundable.

     

    Once we receive your order, it gets sent to the farm to pull from our big ponds and placed into the shipping area. During this process the farm will check the health status and any changes in the body. If there are any changes since the original picture taking customer service will contact you to confirm that you would like to proceed with the order.

    We prepare the Koi and pack them in an oxygenated box for them to survive 24-48 hours depending on the environment.

    Certain physical changes may occur from the time the koi is packed to when you receive it. During this long travel time, it common that the koi may show signs of illness but not to worry it is just stress.

    Here are a list things you may experience:

    Looks

    • Faded color.
    • Black color, especially, may get lighter due to its stress, but it will come back over the time, so no worry.

     

    Behavior

    • Under active: No/Minimal movement
    • Over active: Jumpy

    They are just exhausted and stressed from the long journey. Please maintain the salt level at 0.3-0.5% and provide a lot of aeration. They will recover over the time.

    We are unaware of delivery times, as UPS does not provide a guaranteed delivery time. Depending on your local drivers, your delivery may arrive in the morning or late evening.

    EXCEPTIONS TO KOI HEALTH GUARANTEE

    In the following cases, our guarantee does not apply:

     

    • When a koi is shipped after the holding period (special situations are dealt with on case-by-case basis).
    • When a koi is not quarantined in a separate tank before being introduced to a new pond (see how to properly quarantine koi).
    • When a koi in a customer's tank or pond dies or is injured due to the uncontrollable accidents or incidents such as jumping out of the pond, electrical shortage, predators, etc.

  • 13. Do you ship Koi to Canada?
     

    Update 7/16/2019:

    Currently, we no longer offer shipping to Canada due to the Canadian government's restrictions, which began on April 15, 2019 in response to KHV (koi herpes virus).
    That said, we may offer shipping to Canada again in the future - we sincerely appreciate your patience.

  • 14. How do you ship koi supplies?
     

    Our Kodama Supply Warehouse, located near Fort Lauderdale, FL, actually has a few shipping options available to you:

    • UPS Ground:

    We ship your items by UPS ground the next business day. Faster delivery such as

    overnight, 2nd day, and express saver delivery is also available upon request.

     

    • USPS

    We use USPS's various Flat-Rate shipping options.

     

    • Existing Order/Shipment:

    We can also add your supply order into your live koi sale shipment as long as it fits inside the box and it does not affect your Koi during the transportation.

    Also, please look at your shopping cart. If there is space in your box, you will find the link that shows what additional items can fit in the box.

  • 15. How do I track my koi shipment?
     

     

    Koi are packed and prepared at our farm for UPS by 7:30 AM HST

    • Please note: Any changes (such as address change, hold for pick up or delaying) requested for your shipment after 7:30 AM HST can only be made by UPS's approval.

    An automated message will be sent via e-mail by UPS to confirm they received the package.

    • The e-mail will have your tracking information enclosed BUT will initially show as "DELAYED".

    The accurate delivery date will be updated once UPS scans the label at Honolulu Airport.

    You may see the corrected delivery date when the UPS planes depart (typically) after 12PM HST.

    Another shipment notice will be e-mailed from Customer Support containing a PDF of your package slips and a tracking number

    • If you have multiple boxes, you may use 1 tracking number to search for all boxes in your delivery.

     

    If there is any delay or changes made by UPS, they will send you an automatic notice. If Kodama receives the notice as well, we will forward it to confirm you have also been notified.

  • 1. Is your quarantine done before or after auctions close?
     

    We quarantine koi prior to auction. As soon as the auction ends, they are ready to be shipped.

  • 2. What should I do before I receive my koi?
     

     

    Prepare a separate tub or tank for your koi to rest.

    • Although it depends on the size of koi, a 100-300 gallon tank will do. You can use blue show tanks as well.

    Fill the tank with:

    • fresh dechlorinated water
    • well water
    • or better yet water from your existing pond, providing your existing pond stock is in good condition.

    Filtration system for the tank is ideal.

    • If you do not have a filtration system, provide sound aeration with an air pump.

    Keep the water temperature at 72 F or more.

    • If the tank was small enough, one or two aquarium heaters will do the job.

    Please add salt to make 0.3% concentration. (3 lb salt per 100 gallon water)

  • 3. Why do I need to quarantine?
     

     

    A separate quarantine tank is a must-tool for koi hobbyists.

    It is possible that newly purchased koi still carry parasites, bacteria, fungus etc., even though we did our best to eliminate them. Also, if they are shipped to you in a box, they are usually extremely stressed and exhausted. It is important to provide them a nice surrounding so that they can recover from their journey quickly. Even if you bought from a trusted wholesale koi supplier you've purchased from for years, you should still quarantine.

     

    We strongly recommend to every one of our customers the quarantining of each new koi.

    Keeping and treating new koi fish in a separate quarantine tank for 21 days is the best way to decrease the risk of disease,
    as well as giving them the chance to rest and recover before introducing them to your main pond.

  • 4. How do I quarantine?
     

    Here are the basic supplies you will need:

    • Tank
    • Net to cover the tank
    • Small filter and pump
    • Air pump
    • Test kit: Ammonia, Nitrite, pH and Salt
    • Salt
    • Water thermometer
    • Water conditioner, such as Ultimate, to remove chlorine, ammonia, nitrite.
    • Heater

  • 5. I have not purchased koi for more than a year - What do I need to do?
     

     

    If you have not introduced koi to your pond for a long time, you need to be extra careful.
    • Simply putting our koi into your pond may cause some trouble to either the existing koi or the new koi. It is not because the new koi is sick or because the old koi is sick. It is simply due to different immunity levels.

     

    Without having any new introduction of koi for a long time, your pond has established its own eco system.
    • When new koi that have been raised under completely different surroundings is introduced to your pond, it affects the balance of your eco system. The new koi may not have immunity to what lives in your pond, whereas, your existing koi may have developed certain immunities over a period of time, etc.

     

    Once you have completed the normal quarantine process, you can introduce one of your old stock to the quarantine system.
    • Raising the salt level to 0.5% is a good idea at this time. After making sure nothing unusual has happened in the quarantine system, you are ready to introduce your new koi to your main pond!

  • 6. How does Kodama Koi Farm quarantine?
     

     

    Kodama Koi Farm will not release any new shipments of koi until after an intensive quarantine and the virus test has been completed.

     

    When we import koi directly from breeders, our buyer's team carefully examines koi before we purchase them. Not only do we treat the koi with adequate and proper medications, using caring hands to scrape and microscope for any possible health conditions, we have also instituted the following additional quarantine procedures:

    • Every new shipment is quarantined in an isolated, access-restricted greenhouse on the farm for a minimum of 30 days.
    • The pond water is kept warm at around 72 degrees F. We purposefully create surroundings where bacteria, parasites, fungus and even viruses can break out.During this period, they will also be kept with KHV-free koi. These koi will beused much in the same way as canaries were used in the old coal mines - if thereare any problems in the shipment, the koi will catch it right away.
    • After the quarantine, whether or not the koi becomes sick, we send them to the laboratory to make sure they do not have any undetected or invisible diseases.

    No koi will be sold from this shipment until we have a clean bill of health confirmed by the laboratory.

  • 7. How does Kodama Koi Farm conduct Health Control of koi?
     

     

    • Every piece of equipment we use, such as tubs and nets, are disinfected after each use.

     

    • We do not accept any returns. Because we have no control on a koi's condition or a customer's pond once a koi leaves our facility, we do not allow them to return back to us.

     

    • No one except our Farm Team and other experieced staff members are allowed to handle our nets, the water, and koi. Every staff member is trained to bleach their hands and arms each time they enter a pond area, before they handle pond water, and before they move to another pond.

  • 8. What should I do while my koi are in quarantine?
     
    • Please observe your koi carefully in a koi quarantine tank for 14-21 days to see if it develops any problems.
    • If you do not have a filtration system, we strongly insist that you make partial water changes every 2-3 days (about 25%).
    • Add salt accordingly.
    • Feed digestible food to your koi every day. Try our top-choice among koi, Manda Fu!
    • Check ammonia and nitrite every day. If you find ammonia, we recommend using Ultimate.

  • 2. Do I pay tax?
     

     

    J.K.O. INC./Kodama Koi Farm is required to collect sales tax from Hawaii, New Jersey, and Florida residents according to the following table.

    This includes sales on Kodama Koi Farm auctions, ebay auctions, and koi and pond supplies.

    Tax rate is subject to change according to the State/City/County tax regulations.

     

     

    Canada:

    Kodama Koi Farm is also required to charge 13% taxes and duty on orders sent to Canada.

    In addition, a $10 Bond Fee and a $16 OGD Processing Fee will be charged for all koi shipments to Canada.

  • 3. What do I do after I win an auction?
     

    You can expect a winner notification e-mail from us, containing a link to confirm your win that will take you to the shopping cart page. Or, you may click to view cart to process your payment(s) and arrange shipping.

  • 1. Get a bidding advantage by using a higher maximum bid
     

     

    Waiting until the closing moments of an auction dramatically decreases your chance of winning an auction due to timing, disrupted internet connection, or auction system overload.

    Many bidders will be trying to get their bids in. To increase your chances of winning an auction:

    • Use a higher maximum bid as your personal bidding assistant. Bid the highest amount you are willing to pay for the koi. Only you know what your maximum bid amount is.

     

    • The current bid amount will increase by one increment in your favor.

     

    • Subsequent bids by others will be compared to your maximum bid amount.

     

    • If your maximum bid is higher, the current bid amount will increase by one increment higher than the other person's bid amount in your favor.

     

    • Only after someone enters a bid that is higher than your maximum bid will you be outbid.

    Example: Say the starting bid for a koi is $150, and the bid increment is $10. You enter a maximum bid of $350. The new current bid is now $160 with you as the high bidder. Say another customer enters a bid of $170. Since your maximum bid amount is still higher, the new current bid will increase by one increment (in this case, to $180) in your favor. If no other bids come in, you will win the auction at $180. However, say another customer enters their own max bid of $380.   • 1. How is the Koi behaving?
     

    Is the Koi flashing (scratching itself against the pond walls or rocks)?

    Sitting at the bottom?

    Is it floating with its tail up?

    Is it floating, gasping for air by the waterfall?

    Is it only one Koi or a group of Koi?

    If the Koi are already dead, how was it swimming?

    Koi behavior can tell us many things. If they are flashing or sitting at the bottom, chances are likely that they have parasites. If they are gasping and floating, they may have gill damage, possibly caused by parasites or bacteria. Or it can be simply a lack of dissolved oxygen.

  • 2. Do you see external markings or injury?
     

    Does your koi have any external injuries? It can be scratches, open wounds, or you may not even see any visible markings at all.

    • Open wounds:

    It is definitely a bacterial issue. You need an anti-bacterial treatment. This can also be

    indicative of a secondary infection from parasites, so you need to rule out the

    possibility of parasites too.

    • If you do not see any visible markings or blemishes on the body:

    Most likely it is the gills. I recommend you put your Koi into a slumber with Koi Sleep

    and examine their body from tip to tail, top to bottom. Ulcers and other marking may

    not be visible at first glance. Open their gill cover, and take pictures of the inside. Even

    if the Koi has already died, I highly recommend you take pictures of their gills,

    especially if you can not find external ulcers. Those pictures will be helpful for your vet

    or koi dealer.

    • When did you notice the signs?

    Did the problem just start or has it been on going for quite a while? This bit of

    information tells us how serious the problem is and how quickly we need to treat it.

     

    • Is only one koi affected? Are more koi showing symptoms?

    If it just started, you may only have to treat that one Koi in a quarantine tank. If you

    have been dealing with the problem for a while, you may have to treat the whole

    pond.

     

    • Does your koi still have an appetite?

    If the Koi still eats, that is a good sign. It still has the energy to eat. It is also great

    information because in this case, feeding medicated food will become an option.

    How big is your pond? How many gallons? Are they shaded?

    Understanding your pond environment may give us a clue to determining your kois health. Knowing the total gallons of water is also critical information when

    deciding what dosage of medication to provide. If you do not know your total gallons of water, I strongly recommend measuring it now. You can use pond salt to measure the volume of your pond.

     

    Did you do anything new lately? Add plants, new Koi, change water etc.?

    Understanding a possible trigger of the problem can help us determine what happened and what we can do to fix it.

     

    Do you have a separate aeration pump?

    Koi can die due to a lack of oxygen. Some customers believe a waterfall is enough for oxygen, but, in my professional opinion, it is not. The more aeration, the better for your Koi, especially during summer time! Your entire population might die overnight because of lack of oxygen. From our experience, massive die-off can be caused by either lack of oxygen or high levels of chlorine. This happens when you forget to shut off city water when conducting a water change, which has high levels of chlorine.

     

    What kind of filter do you use?

    If your filter is not appropriate for your pond, it will not build an adequate nitrogen cycle. Without an established cycle, water quality will become poor, which can lead to sick

    or, even worse, dead koi. Improving or upgrading your filtration system could minimize or altogether avoid this problem in the future.

  • 6. What do you feed your koi and how often?
     

    As the saying goes, "You are what you eat". Just as this applies to humans, it also applies to koi!

    With an improper diet, maintaining good health becomes difficult. Although a poor diet will not kill a Koi right away, it will affect the Koi’s health over time.

    The malnourishment can lead to illness or even death.

    Feed your koi as much as they can eat. Start with a handful and see how much food is eaten.

    If after eating all the food, the koi still come up for food, go ahead and feed them more.

    If there are still food floating, scoop waste with a net and wait a few hours before feeding again.

    You may train your koi to eat on a schedule, like your own daily meal planning. Be aware that the more you feed, the more they will grow and produce waste.

     

    • Make sure to have a filter strong enough or preform water changes to accommodate.

     

    Automatic feeders will also help with regular feeding schedules. You may purchase feeders from our Kodama Koi Supply site.

    Koi will actively eat up to temperatures as low as 50 degrees Fahrenheit before their appetite may become stagnant.

    During colder seasons, you may still feed easily digestable food like our Manda Fu.
