- 1. What are the details with koi shipping costs and delivery?More
CUSTOMER SERVICE will contact you to confirm delivery date once the order is processed. If there are any updates to your koi you will be contacted before the shipping date. The shipping fee will be sent separately after your koi has been prepared. See the instructions steps 6 and 7 for more information about processing your order and receiving your koi!

IMPORTANT: All koi shipments need 5–10 days notice prior to shipping in order to stop the feeding and prepare your koi for a safe journey.
Kodama Koi Farm has been shipping koi for many years and have learned what works best for a safe delivery of your koi. The shipping formula is not absolute. However, when packing koi, Kodama Koi Farm takes into consideration the condition of the koi, water temperature, delivery time, and so on. Kodama Koi Farm reserves the right to determine how many koi can be shipped in a box.
Our 24 hour koi health guarantee is based on our farm's packing recommendation for your shipment. Any request to alter the shipping/packing recommendation requires a waiver of the 24 hour koi health guarantee to be sent to Kodama Koi Farm via E-mail.

UPS DELIVERY
UPS ships directly to your door. Your shipment is delivered from Hawaii via UPS Next Day Air. In most cities and locations, UPS delivery usually arrives by 12:30 pm; but can vary based on location. Delivery time for some rural areas may be different. Please check the estimate arrival time with UPS (1-800-PickUPS).
You will also receive your tracking number via email from UPS directly on the day your koi ships.
UPS INSURANCE (RECOMMENDED)
We now offer insurance on UPS shipments. UPS will give a full refund for the price of the koi and shipping cost if the shipment is delayed due to mechanical failure, sorting error, and so on. However, delays due to adverse weather conditions are not covered. If you do not purchase insurance, neither Kodama Koi Farm nor UPS will be held liable for delays in shipment or damages to koi.
UPS INSURANCE FEE
The cost for UPS insurance is 4% per $100 of the koi's value. As a point of reference, if you bought a koi for $500, you can insure it for only $20.00.
SATURDAY UPS DELIVERY
There is an additional fee of $20.00 per box for Saturday deliveries. The Saturday delivery option is not available in all areas.
NOTE:
There is some risk when opting for Saturday UPS delivery. Shipping delays are rare, however it does happen from time to time. A shipping delay may result in your koi not arriving until Monday. Because of this possibility, we highly recommend that you purchase UPS insurance for these deliveries. See UPS Shipping Fees above. The insurance will cover the cost of the shipping as well as your cost for the koi if the delay is a result of a UPS sorting error or mechanical failure. Delays due to unfavorable weather and other acts of nature are not covered. - 2. What is your return policy?More
If anything should happen to your Koi within the holding period i.e.: illness and/or death NO replacements will be given. We will issue a store credit towards your next purchase. Store credit must be used within 6 months from the date of issue (extensions are given on a case-by-case basis).
We do not accept returns for koi, all koi sales are final. Keeping our koi and facility as clean as possible is critical to assure delivery of clean and healthy koi to our customers. Therefore, once the Koi leaves our farm and has experienced other waters, we do not allow any koi to come back for any reason. Avoiding cross contamination is the best practice.
- 3. Do you ship Koi to Mexico?More
At this time we do not ship our koi for sale directly to Mexico. Please cross the border to pick up your Koi at the closest UPS FedEx station inside the US, OR Please contact Tony at High Aqua. He can buy and import Koi from us and then deliver or ship the Koi to you.

- 4. Do you ship Koi to any other countries?More
It depends, as each country requires various documents, one being a health certificate. Please find out from your appropriate government agency what documents are necessary for you to complete in order to import Koi into your country.
- 5. Do you ship interisland?More
Yes, we can ship koi to the neighbor islands.
FedEx Interisland shipments are made on Thursdays only.

All Hawaiian Airlines Air Cargo shipments will be sent pre-paid on Kodama Koi Farm’s account. We will charge your credit card once we receive the charges.
We use the following air cargo services:
Delta Airlines – Next day arrival to all US Mainland destinations
Hawaiian Airlines – Same day delivery to California (Los Angeles, Sacramento, San Diego, San Francisco), Oregon (Portland), Washington (Seattle), Nevada (Las Vegas), Arizona (Phoenix).Two-day advanced notice is necessary and our holding policy will be applied to this service.
Our holding policy requires customers to pick up their koi shipment within 2 hours after the plane has landed.
Liability notice for Delta Air Cargo:
If you choose Delta Air Cargo for your koi shipments, please note that Kodama Koi Farm will no longer be liable for shipping problems through that method due to AVI/AVA shipments not being guaranteed and also because Delta does NOT offer shipping insurance.
If you still prefer Delta Air Cargo, please send us an email verifying that you take full responsibility for the koi shipment and will not hold Kodama Koi Farm liable for any shipping problems or koi's health.
Explanation: Live animal shipments (AVI or AVA) have the lowest priority in shipping; so if a koi needs to be guaranteed to arrive within 24 hours, Delta Dash would be the appropriate shipping status; however the cost of the shipment goes up substantially.
Note: For Delta Dash shipments, we will charge an estimated shipping cost prior to shipping.
To save on shipping costs via Delta Dash and get extra insurance protection, we recommend shipping via UPS and using UPS Insurance; and the vast majority of our customers use UPS.
- 7. I live in Hawaii. Can I pick up my Koi at your place instead of them being shipped?More

There is no problem as long as it fits inside the box and it does not affect your Koi during the transportation. We have a good selection of Koi products in the Supply section of our website. Please take a moment to visit our Supplies page.
Also, please look at your shopping cart. If there is space in your box, you will find the link that shows what additional items can fit in the box.
- 9. Do I have to be there when Koi is delivered?More
Yes, it is important to open the box and release the koi as soon as possible because they will be stressed and exhausted from their trip.
- 10. Can I pick up the Koi at the closest UPS station?More
Yes. It may be beneficial for you to pick up your Koi as soon as the UPS. Simply select the nearest station, and send us an email with the station's address.
- 11. Can you hold my Koi while I buy or bid on some more Koi?More
Yes, we can. We understand it is important that you combine your winnings to save on the shipping cost. Therefore, we can hold your Koi with a koi health guarantee. Please contact a customer service representative at +1 (833) Koi Love (1-833-564-5683); or email them at: info@kodamakoifarm.com to set up a hold for shipment. Once set up, please bid and find companions for your shipment.
If you would like us to hold your Koi, please:
- Contact our office by email or phone within 3 days to let us know of your intentions
- Purchase the koi online or call and provide us with your credit card number to confirm your winnings.
AUCTION'S EXTENDED HOLDING FEE: If an auction Koi is held by Kodama Koi Farm past the holding period, a holding fee of $25 per auction Koi per week after will be charged to you. During the extended holding period, if a Koi becomes sick or dies, Kodama Koi Farm will not be held liable, and no refund, store credit, or replacement will be made.
If you would like to board your Koi (for example during the winter), note:
- this is offered only on a case-by-case basis and pond availability
- if approved, the cost is $50/Koi per month (fees are nonrefundable)
- if a Koi becomes ill, we will treat it at no additional cost to you
- NO replacements or refunds will be offered if a boarding Koi loses its color or dies

- 12. What is your koi health guarantee?More
All koi purchases are final, and shipping charges for koi are nonrefundable.
Once we receive your order, it gets sent to the farm to pull from our big ponds and placed into the shipping area. During this process the farm will check the health status and any changes in the body. If there are any changes since the original picture taking customer service will contact you to confirm that you would like to proceed with the order.
we prepare the Koi and pack them in an oxygenated box for them to survive 24-48 hours depending on the environment.
Certain physical changes may occur from the time the koi is packed to when you receive it. During this long travel time, it common that the koi may show signs of illness but not to worry it is just stress.
Here are a list things you may experience:
- Looks
Faded color.
black color especially may get lighter due to its stress, but it will come back over the time. so no worry.
- Behavior
Under active: No/Minimal movement
Over active: Jumpy
They are just exhausted and stressed from the long journey. Please maintain the salt level at 0.3-0.5% and provide a lot of aeration. They will recover over the time.
With COVID there may be delays in delivery times. UPS does not provide a guaranteed delivery time. We are unaware of delivery times. Depending on your local drivers it may arrive in the morning or late evening.
EXCEPTIONS TO KOI HEALTH GUARANTEE
In the following cases, our guarantee does not apply:
- When a koi is shipped after the holding period (special situations are dealt with on case-by-case basis).
- When a koi is not quarantined in a separate tank before being introduced to a new pond (see how to properly quarantine koi).
- When a koi in a customer's tank or pond dies or is injured due to the uncontrollable accidents or incidents such as jumping out of the pond, electrical shortage, predators, etc.

- 13. Do you ship Koi to Canada?More
Update 7/16/2019:
At the moment, we no longer offer shipping to Canada due to Canada government's restrictions that began on April 15, 2019, in response to KHV (koi herpes virus).That said, we may offer shipping to Canada again in the future; and we appreciate your patience.
- 1. Is your quarantine done before or after auctions close?More
We quarantine koi prior to the auction. So as soon as auction ends, they are ready to be shipped.

- 2. What should I do before I receive koi?More
Prepare a separate tub or tank for your koi to rest. Although it depends on the size of koi, a 100-300 gallon tank will do. You can use blue show tanks as well.
Fill the tank with fresh dechlorinated water, well water, or better yet water from your exiting pond, providing your existing pond stock is in good condition.
Filtration system for the tank is ideal. If you do not have a filtration system, provide sound aeration with an air pump.
Keep the water temperature at 72 F or more. If the tank was small enough, one or two aquarium heaters will do the job.
Please add salt to make 0.3% concentration. (3 lb salt per 100 gallon water)

- 3. Why do I need to quarantine?More
A separate quarantine tank is a must-tool for koi hobbyists.
It is possible that newly purchased koi still carry parasites, bacteria, fungus etc., even though we did our best to eliminate them. Also, if they are shipped to you in a box, they are usually extremely stressed and exhausted. It is important to provide them a nice surrounding so that they can recover from their journey quickly. Even if you bought from a trusted wholesale koi supplier you've bought from for years, you should still quarantine.
Keeping and treating new koi fish in the separate quarantine tank for 21 days is the best way to decrease the risk of disease before introducing them to your main pond. In addition this will give your new koi a chance to rest.

- 4. How do I quarantine?More
Here are the basic supplies you will need:
- Tank
- Net to cover the tank
- Small filter and pump
- Air pump
- Test kit: ammonia, nitrite, pH and salt
- Salt
- Water thermometer
- Water conditioner such as Ultimate to remove chlorine, ammonia, nitrite.
- Heater

- 5. I have not purchased koi for more than a year; do I need to do anything else?More
If you have not introduced koi to your pond for a long time, you need to be extra careful. Simply putting our koi into your pond may cause some trouble to either the existing koi or the new koi. It is not because the new koi is sick or because the old koi is sick. It is simply due to different immunity levels.
Without having any new introduction of koi for a long time, your pond has established its own eco system. When new koi that have been raised under completely different surroundings is introduced to your pond, it affects the balance of your eco system. The new koi may not have immunity to what lives in your pond; whereas, your existing koi may have developed immunities over a period of time, and Vice Versa.
So, when you have completed the normal procedure of quarantine, then you can introduce one of your old stock to the quarantine system. Raising the salt level to 0.5% is a good idea at this time. After making sure nothing unusual has happened in the quarantine system, then you are ready to introduce your new koi to your main pond.

- 6. How does Kodama Koi Farm quarantine?More
Kodama Koi Farm will not release any new shipments of koi until after an intensive quarantine has been completed and the virus test has been completed.
Not only do we treat the koi with adequate and proper medications, use caring hands to scrape and microscope for any possible health conditions, we have also instituted the following additional quarantine procedures:
Every new shipment is quarantined at an isolated, access-restricted greenhouse on the farm for a minimum of 30 days.
The pond water is kept warm around 72 degrees F. We purposely create the surroundings where bacteria, parasites, fungus and even virus can break out.
During this period, they will also be kept with KHV-free koi. These koi will be used much in the same way as canaries did in the old coal mines. If there is any problem in the shipment, the koi will catch it right away.
After the quarantine, regardless if the koi becomes sick or not, we will send them to the laboratory to make sure they do not have any hidden or invisible diseases.
No koi will be sold from this shipment until we have a clean bill of health confirmed by the laboratory.
In addition: When we import koi directly from breeders, our buyer's team carefully examines koi before we purchase them.

- 7. How does Kodama Koi Farm conduct Health Control of koi?More
Every piece of equipment we use・such as tubs and nets are disinfected after each use.
We do not accept any returned koi. Because we have no control on koi's condition as well as customer's pond, once koi leaves our facility, we do not allow them to return back to us.
Nobody but our staff members are allowed to touch the nets, water and koi. Every staff member is trained to bleach their hands and arms every time they go into the pond area and handle the water before they move to another pond.

- 8. What should I do while my koi are in quarantine?More
Please observe the koi carefully in a koi quarantine tank for 14-21 days to see if it develops any problems.
If you do not have the filtration system, please make partial water change every 2-3 days (about 25%). Add salt accordingly.
Feed digestible food to your koi every day such as Manda Fu.
Check Ammonia and nitrite every day. If you find Ammonia, use Ultimate.

J.K.O. INC./Kodama Koi Farm is required to collect sales tax from Hawaii, New Jersey, and Florida residents according to the following table. This includes sales on Kodama Koi Farm auctions, ebay auctions, and koi and pond supplies. Tax rate is subject to change according to the State/City/County tax regulations.

Kodama Koi Farm is also required to charge 13% taxes and duty on orders sent to Canada. In addition, a $10 Bond Fee and a $16 OGD Processing Fee will be charged for all koi shipments to Canada. - 3. How long do I have to pay for won auction koi?More
Our koi auction policy is that you make full payment on all won koi, within 6 business days, to confirm and start processing your order. You are expected to make payment within 3 days of the auction end, regardless of waiting to buy or bid on other koi on the website.
IMPORTANT: If you do not make payment within 6 business days of the auction ending, your order will be flagged for further escalation, which can include warnings from customer service, a 20% restocking charge, or freezing your user account. Repeat offenders may be banned from purchasing koi on https://kodamakoifarm.com/.
This auction policy is created to ensure our website remains the most trusted location for buying koi online. Thank you for your efforts to make payment.
Please communicate immediately with issues making payment after auctions end. In the case of cancellation needing to be accepted, a 20% cancellation fee must be paid. It is at JKO's discretion if we accept the cancellation.
Once your order is prepared, we will send you a shipping invoice a few days prior to your selected shipping date. If you would like to add additional koi to your order, please contact us for review/adjustment of your shipping plans.

- 5. What is the Customer Portal?More
The client portal allows our users to pay for their invoices and sales orders as well as view retainer balances, review and accept or decline quotes, and display any financial information pertaining to the organization. Our team has migrated to a new accounting platform and have consolidated previous orders. We only have gone back so far in history, so please contact us via email for any specific requests.
- 6. How Do I Access Customer Portal?More

- 7. How Can I Change Information Using Customer Portal?More
Customer portal allows you to change all of your own information in our database as needed. Keep in mind, it may not be integrated completely with every feature and website Kodama Koi offers for example: kodamakoishow.com, kodamakoifarm.com auction. Let us know what you need to update, if you are not able in the customer portal.
If you make any address changes, make sure to contact us if you have current orders, so that we can ensure that it is going to the right place.

- 2. Supply Return PolicyMore
You may return an item, in its original condition, for a refund or credit within 15 days of receiving. If you would like to return the item, please contact us for the authorization.
Pre-paid freight and any insurance charges or other costs are non-refundable. There will be a 20% restocking fee on all order items. Some special order items may not be returned. The restocking charge and above-mentioned non-refundable costs will be deducted from your refund.
After a return has been received, it will take 1-2 weeks to process. If using a credit card, refunds will be credited to your account. If paying by check or money order, a refund check will be mailed to you.

- 4. How accurate is the sex information provided of the Koi?More
Please understand, we cannot guarantee the sex of the Koi even though we use our very best judgment with the expertise and experience we have. We try to check the signs and indication of sex, but some of our koi fish for sale are very difficult to distinguish between male or female. This is why even the breeders are not always accurate on the sex of their Koi.

Did you complete your registration? After you enter all the information and submit it, you are supposed to receive a confirmation e-mail to set your password. We ship your items by UPS ground the next business day. Faster delivery such as overnight, 2nd day, express savor delivery is also available upon request.

A certificate of breeding is a document of proof showing that a koi came from a particular breeder and contains a photo of the koi along with its variety, length, and age.
When you order a koi from Kodama Koi Farm, you can add on a laminated certificate of breeding for it when you check out. Each certificate costs only $15.

Customer portal allows you to change all of your own information in our database as needed. Keep in mind, it may not be integrated completely with every feature and website Kodama Koi offers for example: kodamakoishow.com, kodamakoifarm.com auction. Let us know what you need to update, if you are not able in the customer portal.
If you make any address changes, make sure to contact us if you have current orders, so that we can ensure that it is going to the right place.
- 1. Get a bidding advantage by using a higher maximum bidMore
Waiting until the closing moments of an auction dramatically decreases your chance of winning an auction due to timing, disrupted internet connection, or auction system overload.
Many bidders will be trying to get their bids in. To increase your chances of winning an auction, use a higher maximum bid as your personal bidding assistant. Bid the highest amount you are willing to pay for the koi. Only you know what your maximum bid amount is. The current bid amount will increase by one increment in your favor. Subsequent bids by others will be compared to your maximum bid amount. If your maximum bid is higher, the current bid amount will increase by one increment higher than the other person's bid amount in your favor. Only after someone enters a bid that is higher than your maximum bid will you be outbid.
Example: Say the starting bid for a koi is $150, and the bid increment is $10. You enter a maximum bid of $350. The new current bid is now $160 with you as the high bidder. Say another customer enters a bid of $170. Since your maximum bid amount is still higher, the new current bid will increase by one increment (in this case, to $180) in your favor. If no other bids come in, you will win the auction at $180. However, say another customer enters their own max bid of $380. You will now be outbid because your maximum bid amount is lower than the new bid. The new current bid will be $360 (one increment higher than your maximum bid) in favor of the competing bidder.
- 2. How does the "Buy It Now" Button Work?More
"Buy It Now," this button gives you the opportunity to purchase the Koi right away at a set price---no waiting for the auction to end.
However, please be aware that no cancellation will be accepted after submitting your request to "Buy It Now". It has to be paid within 2 days.
Regardless of how the "Buy It Now" price is set, the original auction system operates in the same manner.
If you are bidding, proceed as usual and simply type your bid amount in the blank and click on the "Bid Now" button to enter your bid.
The "Buy It Now" option will no longer be available once the current bid exceeds 50% of the "Estimated Value" price.
- 3. Can I cancel my bid? I am no longer interested in the Koi.More
We are sorry, but no cancellation will be accepted after submitting the bid.
Our goal is to provide the best place for Koi hobbyists to obtain the higher quality Koi for more reasonable price. For us to achieve the goal, we set no reserve. And of course, once auction begins, we will never get involved with the auctions. In return, we simply ask bidders to be committed to their bids. In any case cancellation need to be accepted, 20% cancellation fee must be paid. It is still JKO's discretion if we accept the cancellation.

We use a helpful bidding system (called proxy bidding) to make bidding on auctions simple and easy. You click the bid button to place a bid after you have signed in. You can place a bid while looking at the individual koi or directly on the koi category page.

- When you place a bid, you enter the maximum amount you'd be willing to pay for this particular bid. Your maximum amount is kept confidential from other bidders.
- The Koi Auction bidding system compares your bid to those of the other bidders.
- The system places bids on your behalf, using only as much of your bid as is necessary to maintain your high bid position. The system will bid up to your maximum amount.
- If another bidder has a higher maximum, you'll be outbid. BUT, if no other bidder has a higher maximum, you win the Koi. And you could pay significantly less than your maximum price!

- 12. If I am the highest bidder, but want to increase my max bid to assure my win - how do I do that?More
Input your new max bid as usual. The system will automatically increase your max bid without outbidding your current bid. If someone else bids than your account will auto bid until you reach your max bid amount.
- 1. How is the Koi swimming?More
Is the Koi flashing (scratching itself against the pond walls or rocks) or sitting at the bottom? Is it floating with its tail up? Is it floating, gasping for air by the waterfall? Is it only one Koi or a group of Koi? If the Koi were dead already, how was it swimming?
Koi’s behavior can tell us many things. If they are flashing or sitting at the bottom, Good chances are they got parasites. If they are gasping and floating, they may have gill damage caused by parasites or bacteria. Or it can be simply a lack of dissolved oxygen.

- 2. Do you see external ulcers?More
Does your koi have any external injury markings? It can be scratches, open wounds or you may not even see any external issues there.
If you see open wounds, it is definitely a bacterial issue. You need an anti-bacterial treatment. This can also be a secondary infection coming from parasites. So we need to examine the possibility of parasites too.
If you do not see any issues on the body, most likely it is the gills. I recommend you make the Koi sleep with Koi Sleep (https://www.kodamakoisupply.com/koi-sleep/) , and open the gill cover. I recommend you take pictures of the inside. Even if the Koi is already dead, I highly recommend you take the pictures of gills especially if you can not find external ulcers. Those pictures are helpful for your vet or koi dealer. As you make your Koi sleep, please check the bottom of the Koi too. You may not see wounds from the top, but the Koi may have something at the bottom.

- 3. When did you notice the signs of sickness?More
Did the problem just start or has it been going for quite a while? If it just started, you may only have to treat that one Koi in a quarantine tank. If you have been dealing with the problem for a while, you may have to treat the whole pond.

- 4. Is it only one koi? Or do the rest of the koi show the same signs?More
Do you see the sign of sickness on only one Koi or more? This tells us how serious the problem is and how quickly we need to work on the problem.

- 5. Does your koi still have an appetite?More
If the Koi still eats, that is a good sign. It still has the energy to eat. It is also great information because in this case, feeding medicated food will become an option.

- 6. When was the last time you changed your water?More
We recommend at least changing 10%-20% of your water every week during the season. Some customers hardly change water, which affects water quality and causes health issues. Even if water parameters look OK, regular change of water is very important.

- 7. How big is your pond? How many gallons? Are they shaded?More
Understanding the pond environment may give us a clue of what might have happened.
Knowing the total gallons of water is also critical information when deciding what dose medication is needed.
If you do not know your total gallons of water, I strongly recommend measuring it now.

- 8. Do you have a separate aeration pump?More
There is always a possibility the Koi dies due to lack of oxygen. Some customers believe a waterfall is enough for oxygen. In my opinion, it is not. The more aeration the better for your Koi especially during summer time. Your entire population might die overnight because of lack of oxygen. From our experience, massive die-off can be caused by either lack of oxygen or high levels of chlorine. This happens when you forget to shut off city water when you change water which has high levels of chlorine.

- 9. What kind of filter do you use?More
If your filter is not appropriate for your pond, it will not build a good nitrogen cycle. Without the established cycle, water quality will become poor so your Koi will get sick or die. Improving the filter system could minimize the problem in the future.

- 10. What do you feed your koi and how often?More
What you eat is what you are. If their diet is not proper, it is hard to maintain good health just like humans. A poor diet will not kill a Koi right away, but it will affect the Koi’s health overtime. The malnutrition or lack of a proper diet can be the cause of the sickness or death.
